“How much does an ERP system cost?” “What factors influence ERP pricing?” “Is an ERP system expensive?” These are questions you ask Google – and us as well. Naturally, price plays a key role when deciding whether to invest in an enterprise resource planning system. Let’s unpack it together.
As you might expect from the length of this article, there’s no quick or straightforward answer. That’s why ERP providers typically don’t list fixed prices on their websites, instead inviting you to schedule a personal consultation. At On Point, we follow the same approach.
The Initial Consultation: Crafting the Blueprint for Your ERP Solution
To provide an accurate price estimate, we first need to fully understand your business. We’ll ask about the software you use, the challenges you’re facing, and what’s currently working well. We’ll dive into how your teams collaborate, identify where processes are breaking down, and highlight areas where you’re missing key information, experiencing delays, or losing money.
In essence, we’ll uncover where an ERP system can bring the most value and tailor it to boost efficiency across your entire organization. Most importantly, this consultation will give you clarity. Many clients come in with a broad idea, but after this meeting, they leave with a much sharper understanding of what an ERP solution like Microsoft Dynamics 365 Business Central can truly offer.
At On Point, the initial consultation is entirely commitment-free. Just send us an email at info@onpointserv.com to book your appointment.
If you choose to move forward after the consultation, we’ll conduct a thorough analysis, create a tailored project plan, and provide the detailed price estimate you’ve been anticipating. Let’s explore the factors that influence it.
What Determines the Total Price
Pre-Implementation Analysis
This includes detailed assessments that result in a project plan and a cost projection for implementation. You’re charged based on the hours spent on these analyses.
Number and Cost of Licenses
Licenses are priced per user and per device, with rates set by Microsoft and available on their website. Pricing can change frequently, and Microsoft occasionally offers discounts – we keep track of those for you. And with us, you’ll always benefit from a slightly better price.
There are two types of licenses: Essentials and Premium. Premium is ideal for manufacturing companies and those servicing equipment, while Essentials covers the needs of most other businesses.
Implementation
The cost and process of implementing the system vary depending on:
The complexity and number of your accounting units.
The amount and quality of data being migrated.
The structure of your warehouses.
Your specific needs and use of advanced features.
Integrations with your current software or add-ons.
Planned development of new modules or custom features.
These factors directly affect both the implementation timeline and the final cost.
Testing
We ensure everything runs smoothly by subjecting the system to thorough testing, with your involvement. The scope of testing depends on factors like the number of new modules, features, and customizations. Once testing is complete, the system goes live.
Training
To facilitate a smooth transition, we offer comprehensive training. We typically train all system users and dedicate special attention to "super users" who then provide additional guidance to their teams.
If needed, we can even support your team on-site, working closely with you for a few days to ensure everything runs smoothly.
No Monthly Flat Rate
At On Point, there’s no monthly flat rate. You only pay for the actual work done. Once the system is live and we move to service mode, we invoice based on the number of hours worked and consultations provided.
Is an ERP System Expensive? It Could Be the Best Investment You Make
When you choose the right partner, one who identifies key bottlenecks and opportunities, they’ll customize the system precisely to your needs. In that case, the investment is absolutely worth it. You’ll gain automation, complete visibility, and unified data all in one place. This leads to smarter business decisions, financial growth, stronger cross-department collaboration, more flexible roles, and a higher company valuation.
However, your business may not be quite ready for an ERP system yet, or it could be the perfect time, with the investment cost pleasantly surprising you – just as it did for our clients at MoroSystems, where we led a significant technological (r)evolution.
“I had been considering Business Central for quite some time, but I was told it was beyond our budget, so I initially ruled it out. It wasn’t until Petr Kupka’s lecture on Planning and Reporting in Business Central that I realized it was the right solution for us.”
